JOB DUTIES

Job Summary:

The Stores Executive will be responsible for efficient management of materials at Railway EPC project sites, ensuring timely receipt, storage, issuance, and documentation of all construction materials, track components, signaling equipment, electrical materials, and consumables. The role demands strong coordination with procurement, project execution teams, vendors, and contractors to ensure uninterrupted project progress.

Material Receipt & Verification

  • Receive incoming materials as per purchase orders, delivery challans, and packing lists.
  • Conduct quality and quantity verification in coordination with QC/engineering teams.
  • Report shortages, damages, or non-conformities and initiate replacement/rejection procedures.
  • Ensure proper GRN (Goods Receipt Note) generation in ERP/system.

2. Storage & Inventory Control

  • Ensure scientific storage of materials following FIFO/FEFO and safety norms.
  • Maintain proper stacking, labeling, and coding of materials for easy identification.
  • Track shelf-life items, critical materials, and high-value inventory.
  • Conduct periodic physical stock counts and reconcile with system records.

3. Material Issuance & Documentation

  • Issue materials to construction teams against approved Material Requisition Slips.
  • Ensure timely and accurate posting of issues in ERP/software.
  • Maintain daily stock registers, bin cards, and material movement records.
  • Prepare MIS reports such as daily stock status, fast-moving/slow-moving items, and shortages.

4. Coordination & Compliance

  • Coordinate with procurement team for material planning, replenishment, and vendor follow-ups.
  • Liaise with logistics teams for dispatch schedules and vehicle tracking.
  • Support audit activities by providing accurate documentation and compliance records.
  • Ensure adherence to project-specific guidelines, HSE norms, and statutory requirements.

5. Site-Level Support

  • Provide real-time visibility of stock to project leadership for planning and execution.
  • Monitor and control wastage, scrap management, and material returns from site.
  • Support establishment and closure of site stores as per project lifecycle.
