KEY PERFORMANCE AREAS

 

  • Collaborating and communicating, acting as a contact point for necessary government officials/NMC authorities
  • Consistent implementation of company’s Admin Policies and Processes at the plant
  • To assist in employee engagement activities from Admin related support
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
  • Monitoring welfare fund as per budget requirement

 

 

KEY ACTIVITIES & RESPONSIBILITIES

Planning

 

  • Prepare and evaluate standard policies and programs involving new or improved facilities
  • Plan for outsourcing of specific services like housekeeping
  • Preparation of cost estimates and supporting budgeting documentation and reports
  • Maintain expenses within budget guidelines as planned for the year

Facilities Management and Maintenance

  • Responsible for ensuring facilities management, including utility operation and maintenance, for the plant as well as company owned or leased residences / guest house.
  • Ensure smooth functioning of all communication channels like Telephones, Conference facility etc and focusing on enhancing productivity
  • Ensure proper execution of facility maintenance to ensure proper safety, sanitation, and mechanical functions for all buildings, grounds, and equipment
  • Ensure utilities are maintained and there is uninterrupted supply
  • Ensure that housekeeping / maintenance services are in line with agreed quality standards
  • Ensure timely provision of administrative support to new joinees/transferred employees, especially senior management
  • Manage repair, maintenance & replacement of office equipment’s, appliances, furniture, furnishings, vehicles, painting building, etc.

 

Vendor Management

 

  • Liasoning with Government authorities
  • Ensure there is inspection of all completed work in conformance to specification
  • Supplier relationship management for facility related services and projects

 

Guest Management

 

  • Handle guests as per the requirements and arranging for transport, as per need
  • Booking of Service Apartment or hotel for outstation guests, trainers, employees etc
  • Cater to the needs of the guests who are staying in the service and rented apartments

 

Travel and Transport Management

  • Responsible for transport management, including company owned vehicles
  • Ensure smooth functioning and scheduling of company car service for official travel purpose and maintaining the records of time keeping, on a daily basis
  • Ensuring travel and stay arrangements as required for employees who travel on company work

 

MIS and Documentation

 

  • Ensure up to date and accurate MIS to assist with the planning of budget.
  • Provide any report or MIS or analysis as and when required to the Admin Head

 

Employee Relations & Statutory Requirements

  • Maintain healthy relations with local statutory bodies & government authorities and ensure speedy resolution of any plant related issues
  • Maintain good working relations with all Plant Employees

 

Administration

 

  • Monthly provisions to Account for Admin Services within stipulated timelines
  • Oversee smooth functioning of all administration related tasks like housekeeping and overall cleanliness and maintenance of the Plant
  • Review and monitor administration costs, and work towards reducing the same
  • To ensure timely preparation of Service Requisition / Purchase Requisition as per policy & guidelines
  • Submission of bills to accounts on timely basis every month

 

Other Activities

 

  • Effectively manage all employee and admin costs for the plant location
  • Drive initiatives to build good relationship with locals surrounding the plant area
  • Welfare Activities to be monitored & ensure smooth functioning
  • Facilitate any external and internal audits and support by providing relevant information and documentation

 

Environment Health & Safety:

 

  • Ensure Safety and Good health of employees working in your own area of influence.
  • Ensure all work practices implemented in various sections of department are as per the requirements of Environment, Health and Safety
  • Ensure EHS related training to all newly inducted employees & contract workers.
  • Ensure proper management of waste
  • Ensure implementation of IMS system (ISO 14001:2015, ISO 45001:2018 & BSC OH&S and Environment specification) requirements
  • Ensure PPE compliance by all employees

 

Education and Experience Required

Education:

Graduation in any steam + MBA

Experience:

10-15 years of experience in Plant Administration in a Manufacturing unit
