Job Description: Associate – RMC Procurement

 

Job Summary

The Associate – RMC Procurement is responsible for executing day‑to‑day procurement of Ready-Mix Concrete (RMC) and related materials across project sites. The role involves coordinating with vendors, ensuring timely delivery, supporting negotiations, maintaining procurement documentation, and ensuring compliance with quality and safety standards. The Senior Officer also plays a key role in payment processing by coordinating invoice verification, GRN closure, and follow‑ups with Finance to ensure timely vendor payments and smooth procurement operations.


 

Key Responsibilities

1. Procurement Operations

  • Execute day-to-day procurement of Ready-Mix Concrete (RMC) based on site requirements.
  • Prepare purchase requests, issue purchase orders (POs), and track order acknowledgements.
  • Monitor dispatch schedules to ensure timely delivery and avoid delays or stock-outs.
  • Follow up with vendors and logistics teams for on-time execution of orders.

2. Vendor Coordination

  • Coordinate with approved RMC vendors for rates, dispatch planning, and availability.
  • Collect quotations, perform basic commercial evaluation, and support vendor onboarding.
  • Maintain strong vendor relationships to ensure consistent supply and quick issue resolution.
  • Track vendor adherence to quantity, quality, and delivery timelines.

3. Cost Tracking & Payment Processing

  • Obtain competitive quotes and support pricing and term negotiations led by senior team members.
  • Maintain updated records of vendor rate agreements, POs, and material consumption.
  • Coordinate end-to-end payment processes:
    • Verify vendor invoices against PO, delivery challans, and site confirmations.
    • Ensure timely GRN (Goods Receipt Note) closure in coordination with site teams.
    • Highlight and resolve discrepancies in billed quantity, rate, or taxes.
    • Follow up with Finance and Accounts teams to ensure timely vendor payments.
  • Maintain payment trackers, ageing reports, and vendor ledger reconciliation support.

4. Compliance & Quality Coordination

  • Ensure procurement activities comply with company policies, SOPs, and safety standards.
  • Work with Quality Control teams to ensure RMC meets the required mix design and technical specifications.
  • Maintain documentation required for audits, internal reviews, and statutory compliance.

5. Reporting & Documentation

  • Maintain comprehensive procurement data—PO logs, vendor communication, delivery reports, and pricing records.
  • Prepare regular MIS reports covering:
    • Procurement status
    • Material delivery reports
    • Vendor performance updates
    • Cost and consumption summaries
  • Assist in preparing procurement dashboards and KPI reports.

6. Site Coordination

  • Liaise daily with planning engineers and project managers to capture site-wise RMC requirements.
  • Coordinate delivery schedules with batching plants and logistics to meet project timelines.
  • Address routine site concerns related to quality, quantity, and delivery issues.
  • Provide support in resolving supply discrepancies in coordination with quality teams and vendors.
  • Participate in regular site review meetings to align procurement schedules with project execution.
