Position Title: Senior Associate – Resource Coordinator

Grade: A3
Location: Mumbai

Job Purpose

The Senior Associate – Resource Coordinator will be responsible for supporting resource planning, allocation, and coordination activities across projects / functions to ensure optimum utilization of manpower and timely deployment of resources. The role involves coordination with business teams, project managers, HR, and other stakeholders to track resource requirements, maintain resource data, support workforce planning, and ensure smooth execution of resource management processes.


Key Responsibilities

1. Resource Planning & Allocation Support

  • Coordinate with business / project teams to understand resource requirements and support timely deployment of manpower.

  • Assist in resource allocation and tracking to ensure optimum utilization across projects / departments.

  • Monitor open manpower requirements, deployment status, and resource availability in coordination with relevant stakeholders.

  • Support workforce planning activities by maintaining updated information on resource demand and supply.

2. Coordination with Internal Stakeholders

  • Liaise with project managers, department heads, HR, and operations teams for resource planning and allocation requirements.

  • Follow up with stakeholders on manpower requests, project allocations, movement of employees, and resource availability.

  • Coordinate with hiring / HR teams for closure of open requirements and onboarding alignment where applicable.

3. Resource Data Management & MIS

  • Maintain and update resource-related records, trackers, allocation status, and manpower databases.

  • Prepare and share regular MIS / dashboards on resource allocation, utilization, vacancies, deployment status, and other manpower metrics.

  • Track movement of employees across projects / functions and ensure records are updated accurately in internal systems / trackers.

  • Support preparation of periodic reports for management review on resource planning and deployment status.

4. Resource Utilization & Monitoring

  • Monitor resource utilization levels and highlight gaps, excess capacity, or allocation issues to the reporting manager.

  • Support identification of resource shortages and coordinate with stakeholders for timely resolution.

  • Ensure effective tracking of bench / available resources and support deployment planning based on business needs.

5. Process Coordination & Compliance

  • Ensure resource coordination activities are carried out as per defined internal processes and approval workflows.

  • Support documentation related to resource requests, approvals, deployment details, and manpower movements.

  • Maintain confidentiality and accuracy of employee / manpower-related information handled as part of the role.

6. Communication & Follow-up

  • Act as a coordination point between business teams and support functions for resource-related updates and requirements.

  • Provide timely updates to stakeholders on the status of manpower requests, deployments, and pending actions.

  • Escalate critical resource gaps, delays, or allocation concerns to the reporting manager as required.


Educational Qualification

  • Graduate in any discipline

  • MBA / PGDM / qualification in HR / Operations / Business Management will be an added advantage


Experience

  • 3–5 years of relevant experience in resource coordination / workforce planning / staffing coordination / operations support / HR coordination

  • Experience in project-based organizations, engineering / EPC / consulting / shared services environment will be preferred
