Assistant Manager – Secretary & Executive Assistant

Purpose of the Role

The Assistant Manager – Secretary & Executive Assistant will provide high-level administrative, analytical, and coordination support to the Senior Vice President – Global Sales & Marketing.

This role is pivotal in enabling effective execution of global sales strategy, business performance governance, customer engagement initiatives, and cross-regional coordination. In addition to executive support responsibilities, the role requires strong exposure to Sales Analytics and Business Analytics to assist in performance tracking, reporting, forecasting reviews, and strategic decision support.

The position demands strong business acumen, analytical capability, stakeholder management skills, and high levels of professionalism and confidentiality.


Key Roles & Responsibilities

Executive & Strategic Support

  • Act as a trusted Executive Assistant and Secretary to the SVP – Global Sales & Marketing.
  • Manage calendar, travel, global meeting coordination, and executive communication with discretion.
  • Maintain strict confidentiality while handling sensitive commercial, pricing, and strategic information.
  • Serve as a liaison between the SVP and:
    • Regional Sales Heads
    • Marketing teams
    • Business Development teams
    • International stakeholders

Sales & Business Analytics Support

  • Prepare and consolidate:
    • Global sales dashboards
    • Revenue performance reports
    • Order booking and pipeline summaries
    • Margin and pricing analysis
    • Regional performance MIS
  • Support monthly, quarterly, and annual business review preparation.
  • Track KPIs including revenue growth, contribution margins, forecast accuracy, channel performance, and customer profitability.
  • Assist in sales forecasting reviews and variance analysis.
  • Develop executive-ready presentations using advanced Excel and PowerPoint.
  • Work closely with Finance and Commercial teams to validate data accuracy and reporting consistency.
  • Support CRM data consolidation and analytics reviews (if applicable).

Qualifications & Skills

Education

  • Bachelor’s Degree (B.Com / BBA / BA / Engineering or equivalent).
  • MBA / PGDM (Marketing / Finance / Business Analytics) – Mandatory.

Technical & Functional Skills

  • Strong exposure to Sales Analytics and Business Analytics.
  • Advanced proficiency in:
    • Microsoft Excel (Pivot tables, Power Query, advanced formulas)
    • PowerPoint (Executive presentations)
    • Outlook and Word
  • Experience in working with sales MIS, dashboards, and performance tracking systems.
  • Understanding of revenue models, contribution margins, pricing strategy, and forecasting.
  • Ability to manage global time zones and multicultural coordination.

Analytical Skills

  • Strong numerical aptitude and data interpretation capability.
  • Ability to convert raw data into actionable insights.
  • Experience in preparing business review decks for senior leadership.

Experience

  • 5–8 years of experience as an Executive Assistant / Secretary supporting Senior Management.
  • At least 2–3 years of exposure to Sales MIS, Business Analytics, or Commercial reporting.
  • Prior experience supporting CXO / Global Sales Leadership will be highly preferred.
  • Exposure to international markets or export sales operations is an added advantage
