Purpose of the Role

The Assistant Manager – Secretary & Executive Assistant will provide high-level administrative, operational, and coordination support to the Senior Vice President – Operations & Engineering (COO). The role is critical in enabling effective leadership execution across manufacturing operations, engineering functions, and cross-functional teams, ensuring seamless communication, governance, and follow-through on strategic and operational priorities.

This role requires prior industrial exposure, with hands-on experience of working in a plant or factory environment, to effectively support leadership in a manufacturing setup. (This is preferred but not mandatory)


Key Roles & Responsibilities

  • Act as a trusted Secretary and Executive Assistant to the SVP – Operations & Engineering / COO, managing day-to-day executive coordination with discretion and professionalism.
  • Maintain strict confidentiality while handling sensitive operational, financial, and strategic information.
  • Act as a liaison between the COO and plant leadership, engineering teams, internal departments, and external stakeholders.
  • Coordinate and organize meetings involving senior management, plant heads, and cross-functional leadership teams, including agenda preparation, minute-taking, and action tracking.
  • Ensure strong follow-up and closure on action items arising from operational reviews, plant meetings, and leadership discussions.
  • Prepare, edit, and maintain executive-level correspondence, reports, dashboards, presentations, and Board documentation.
  • Support manufacturing and engineering leadership by compiling MIS reports, operational metrics, and performance data using Excel and PowerPoint.
  • Assist in preparing reports related to plant operations, productivity, quality, safety, and engineering initiatives.
  • Plan, organize, and coordinate leadership visits, plant reviews, audits, and special operational events.
  • Support internal communication initiatives related to operations, engineering, and employee engagement.
  • Uphold and reinforce professional standards and executive governance across teams and stakeholder interactions.

Qualifications & Skills

Education:

  • Bachelor’s degree (BA / B. Com / Engineering or equivalent).
  • MBA / PGDM – Mandatory.

Technical & Functional Skills:

  • Prior industrial exposure with experience working in a manufacturing plant or factory environment (preferred).
  • Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook).
  • Strong ability to manage multiple priorities in a fast-paced manufacturing setup.
  • Excellent coordination, delegation, and stakeholder management skills.
  • Strong analytical ability to compile and present operational data and reports.

Experience

  • 5–7 years of experience as a Secretary / Executive Assistant supporting Senior Management, preferably in Operations, Engineering, or Manufacturing organizations.
  • Prior experience reporting to CXO / COO / Plant Leadership will be highly preferred
